Managing bookings
Everything you need to know about viewing, managing, and understanding your bookings.
View all bookings
Go to Bookings → Overview in the sidebar. By default you see all upcoming slots — free, booked, and cancelled — sorted by start time. The page loads slots from the last 30 days plus everything in the future.
Filter by date, time, or status
Use the filter bar near the top of the Bookings page to narrow down what you see.
- Date:Show only slots on a specific day.
- Start time:Show only slots that start at a specific time.
- Status pills:All — Free (available) — Booked — Cancelled — Completed (past sessions).
Click Clear filters to reset. The count of matching slots is shown when a filter is active.
Understanding slot statuses
The slot is available for a client to book. You can edit or delete it.
A client has booked this session. The slot shows the client's name, phone, email, and payment status.
The session was cancelled by you or the client. Any card payment is refunded automatically.
A booked session that has passed. It appears when you filter by Completed status.
Booked slots also show a payment badge: Paid, Unpaid, or Refunded.
Cancel a booking
You can cancel any booked session. If the client paid by card, they are refunded automatically.
- 1Go to Bookings → Overview.
- 2Find the booked session.
- 3Click Cancel on the slot card.
- 4Add an optional reason — the client may see this.
- 5Click Confirm cancellation.
Once confirmed, the slot status changes to Cancelled. A toast notification confirms whether a refund was processed: Cancelled and refunded or Cancelled.
Log a session manually
Use this when a session was arranged outside Nextro — for example, a client messaged you on WhatsApp — and you want to record it. The session is added directly as booked with no checkout required.
- 1Go to Bookings → Create.
- 2Select the Log booking tab.
- 3Set the date, start time, duration, service type, and delivery mode.
- 4Enter the client's name (required) and email (required).
- 5Optionally add the client's phone number.
- 6Set the payment method: Cash or Card.
- 7Set the payment status: Paid or Unpaid.
- 8Click Log booking.
View completed sessions
Completed sessions are past sessions that were booked and not cancelled. They're not shown by default to keep the view clean.
- 1Go to Bookings → Overview.
- 2Click the Completed filter pill in the status row.
Completed sessions from the last 30 days are shown, most recent first. You can combine this with the date or time filters to narrow down further.
Copy a client's receipt link
Each booked session has a receipt link you can share with the client.
- 1Go to Bookings → Overview.
- 2Find the booked or completed session.
- 3Click Copy receipt on the slot card.
- 4Paste the link into WhatsApp, email, or any message to the client.
Bulk edit or delete free slots
When you have lots of free slots to manage, bulk actions save time.
- 1Go to Bookings → Overview.
- 2Tick the checkboxes on the free slots you want to select.
- 3Use Select all free (X) to select all visible free slots at once.
- 4A toolbar appears at the bottom of the screen showing how many slots are selected.
- 5Click Edit selected to update their service type, delivery mode, or title all at once.
- 6Or click Delete to remove them all — you'll be asked to confirm first.
Only free (unbooked) slots can be bulk-selected. Booked or cancelled slots do not have checkboxes.
