Managing availability
How to set your weekly schedule, add one-off slots, and manage your calendar.
Set your weekly schedule
This is the main way to fill your booking page. Set your working days and hours once — Nextro generates all your slots and keeps your calendar filled automatically.
Run it again any time to top up your calendar, or whenever your schedule changes.
- 1Go to Bookings → Availability.
- 2Toggle on the days you want to be available. Monday–Friday are on by default.
- 3For each enabled day, set a start time and end time (e.g. 09:00 to 17:00).
- 4Need a lunch break or a split shift? Click + Add time window to add a second (or third) window for that day — for example, 09:00–13:00 and 14:00–18:00. Click × to remove a window.
- 5Choose your session duration: 30, 45, 60, or 90 minutes. Or click + Custom duration to enter any length.
- 6Choose how many weeks ahead to fill: 1, 2, or 4 weeks.
- 7If you offer multiple session types or in-person/online delivery, choose which to generate slots for.
- 8Click Save availability.
Before you can use this page, you need a username and at least one contact method (email or phone) set in Settings.
Add a one-off slot
Use this for a specific date that falls outside your normal schedule — a special session, a trial, or a one-time opening.
- 1Go to Bookings → Add slot.
- 2The Free slot tab is selected by default. Pick a date and start time.
- 3Choose a duration: 30, 45, 60, or 90 minutes — or click + Custom duration to enter any length from 5 to 240 minutes.
- 4If you offer multiple services or delivery modes, set them here.
- 5Optionally click + Add title to give the slot a name (e.g. Early morning PT).
- 6Click Add slot.
Duplicate last week
A quick way to copy last week's schedule into the next 7 days.
- 1Go to Bookings → Overview.
- 2Click Duplicate last week in the action toolbar.
- 3Confirm the prompt.
Nextro copies all free (unbooked) slots from the last 7 days and creates identical slots for the next 7 days. Slots that already exist in that window are skipped automatically.
Add a buffer between sessions
A buffer adds extra time after each slot so you have a gap between back-to-back sessions.
- 1Go to Bookings → Add slot.
- 2Click + Add buffer near the top of the form.
- 3Choose 0, 5, 10, or 15 minutes.
- 4Click Done.
The buffer applies to every slot you create during that session. For example, a 60-minute slot with a 10-minute buffer will end 70 minutes after it starts on the calendar.
Edit a slot
You can edit free (unbooked) slots to update the service type, delivery mode, or appointment name.
- 1Go to Bookings → Overview.
- 2Find the free slot you want to update.
- 3Click Edit on the slot card.
- 4Update the service type, delivery mode, or title.
- 5Click Save changes.
To edit multiple free slots at once, select them using the checkboxes and click Edit selected from the bulk action bar at the bottom of the screen.
Delete a slot
You can only delete free (unbooked) slots. Booked sessions must be cancelled instead.
- 1Go to Bookings → Overview.
- 2Find the free slot you want to remove.
- 3Click Delete on the slot card.
To delete multiple slots at once, tick their checkboxes and click Delete from the bulk action bar at the bottom of the screen. You'll be asked to confirm before anything is removed.
Book a day off
Use this to clear an entire day of availability at once — for holidays, illness, or personal time.
- 1Go to Bookings → Overview.
- 2Click Book day off in the action toolbar.
- 3Select the date.
- 4Choose a reason: Holiday, Sick, Personal, or Other.
- 5If any sessions are already booked on that day, a toggle will appear: Cancel booked sessions. Turn it on if you want to cancel them too.
- 6If you cancel booked sessions, choose how paid sessions are handled: Refund to bank or Convert to credit.
- 7Review the summary — it shows how many free slots will be removed and how many booked sessions will be affected.
- 8Click Clear free slots (or Clear slots & cancel sessions if cancelling bookings).
Card payments are refunded automatically when you cancel a booked session. Cash bookings are unaffected — you handle those directly with the client.
