How Spray Tan Artists Can Stop Last-Minute Cancellations and Take Bookings Online

A 30-minute spray tan slot is small enough to seem low-risk — until clients cancel two hours before. Here's how spray tan artists use booking software to secure every appointment upfront.

Why spray tan cancellations sting more than they should

Spray tans are typically 30 minutes, which makes them feel low-stakes to clients. That's exactly the problem. A client who would think twice about cancelling a 90-minute colour appointment will happily message you at 6pm to say they can't make tomorrow's tan. To them, it's a small thing. To you, it's a slot you could have sold, plus prep time and equipment already set up.

Mobile spray tan artists feel this even more. You've already planned the journey, loaded your equipment, and blocked the travel time either side. A last-minute cancellation costs you an hour or more — not just 30 minutes.

The Insta DM booking problem

Most spray tan artists get their bookings through Instagram. A client comments on a post or sends a DM, you exchange six messages to find a time, then they say "I'll get back to you" — and sometimes they do, sometimes they don't. No slot is actually booked. Nothing is committed. When they do confirm, there's nothing in place to prevent a last-minute cancellation.

Booking software removes the DM cycle entirely. You put a link in your bio. Clients click it, choose from your services (full body, half body, top-up, bridal), pick a time that shows as genuinely available, and pay upfront. No back-and-forth. No maybe.

What to look for in booking software as a spray tan artist

Mobile-first booking

Your clients find you on their phone — on Instagram, on Google, on TikTok. Your booking page must work perfectly on mobile. If clients have to zoom in, scroll sideways, or wait for a slow page to load, they'll close it and DM you instead.

Different session lengths for different services

Full body, half body, express, maintenance — each takes a different amount of time. Your booking software should let you set the exact duration per service so your diary never double-books.

Upfront payment as standard

A deposit isn't enough. Full upfront payment is. When a client has paid £35 for their spray tan, they show up — because not showing up means they've lost £35. Booking software that takes full payment at checkout is the single most effective tool for eliminating no-shows.

Reminders sent automatically

A client who booked their spray tan 10 days ago needs reminding the day before, especially if they need to prep (exfoliate, no moisturiser, etc.). Good booking software sends an automatic reminder with any prep notes you want to include.

Spray tans for events: bridal and prom season

Bridal and prom bookings are often made weeks or months in advance. That long lead time makes payment easy to forget about — from the client's side. With an online booking system, they pay when they book, regardless of how far in the future the appointment is. There's no need to follow up with payment reminders later.

You can also list a bridal trial as a separate service with its own price — so brides book both the trial and the wedding day appointment in one session, paying for each upfront.
